Data Sharing Policy
This page is written specifically for gym owners, studio operators, coaches, and affiliate partners who are evaluating MyFoodOracle for their members or clients. It explains clearly what data we collect, what we share, and what we never share.

Our core data promise
- Individual member data is never shared with gym owners, coaches, or any third party
- Health information including cycle data, perimenopause status, and journal entries is never shared with anyone
- We do not sell personal data
- Gym owners and coaches receive only anonymised aggregate data about their cohort
- Members control their own data and can delete it at any time
1. Who This Policy Applies To
This policy applies to three types of partners who work with MyFoodOracle:
- Gym and studio owners who offer MyFoodOracle to their members as a benefit
- Personal trainers and coaches who recommend MyFoodOracle to their clients through our affiliate programme
- Any organisation that accesses the MyFoodOracle partner admin dashboard

2. What Gym Owners and Coaches Can See
Partners with admin dashboard access can see the following data about their cohort:

| Active member count | Total number of members active in the last 30 days. Aggregate only. |
| Gym health score | A composite engagement score from 0 to 100 calculated from anonymised aggregate activity. No individual breakdown. |
| At-risk member alerts | A count of members showing dropout behavioral signals. No names, no individual data, no personal information. |
| Challenge participation | Aggregate participation rates in active challenges. No individual names unless a member opts into a public leaderboard. |
| New member activity | Aggregate onboarding completion rates. No individual details. |
3. What Gym Owners and Coaches Never See
Partners never have access to any individual member's personal data regardless of their subscription tier or admin access level.
This includes but is not limited to:
- Individual food logs or meal descriptions
- Journal entries or emotional eating reflections
- Weight, measurements, or progress photos
- Health context selections including perimenopause, menopause, postpartum, or breastfeeding status
- Cycle tracking data
- Individual behavioral pattern data
- AI conversation history or personalised insights
- Personal goals or goal track selection
- Individual resilience scores
- Any personally identifiable health or nutrition information
4. Community Leaderboards and Challenges
MyFoodOracle includes optional challenge and community features. Members can opt into a leaderboard that shows first names and rankings within their gym cohort or the broader community.
Participation in leaderboards is always opt-in and never opt-out. Members can disable challenge visibility and leaderboard participation at any time through their settings. When a member opts out of challenges their activity data still contributes to the gym health score in aggregate but their individual name and ranking are never shown.
Members on the End Emotional Eating goal track have competitive notifications turned off by default given the sensitivity of that goal track.
5. How We Use Aggregate Data
MyFoodOracle may use anonymised aggregate data that cannot identify any individual for the following purposes:
- Product research and feature development
- Industry benchmarking and published research
- Business insights shared with or licensed to third parties
- Marketing materials using aggregate statistics such as average retention improvement rates
Aggregate data shared externally never contains information that could identify an individual member, their gym, or their coach. Members can opt out of contributing to anonymised research through Settings → Account → Data Preferences.
6. Third-Party Service Providers
MyFoodOracle uses the following service providers to operate the platform. Each processes data only as necessary and is bound by data protection agreements:
- Firebase and Google Cloud for data storage and authentication
- Stripe for payment processing
- Anthropic for AI-powered behavioral insights
- Railway for server infrastructure
- Resend for transactional email delivery
- Mailchimp for marketing communications to opted-in subscribers
We do not share individual member data with any of these providers beyond what is technically necessary to deliver the service. For example Anthropic processes food log descriptions to generate insights but does not receive member names or contact information.
7. Member Consent and Control
Members retain full control over their data at all times. No data is shared with a gym or coach based on the gym's subscription. The relationship between a gym and their members through MyFoodOracle is one of benefit provision not data access.
Members can delete their accounts and all associated personal data at any time through Settings → Account → Delete Account. Deletion is processed within 30 days. Aggregate anonymised cohort metrics that do not identify the individual are not affected by individual account deletion.
